The Assistant Management Accountant is responsible for maintaining accurate and timely financial records and financial information. To assist in the preparation of monthly Management Accounts, key performance MI and the Annual Report and Accounts

 Main Duties and Responsibilities

Management Accounts

·        To assist in the preparation of monthly management accounts and KPIs for submission to the Financial Controller on a timely basis for monthly Board and Management Committees

  • To prepare key Balance Sheet reconciliations
  • To prepare Accruals and Prepayments
  • To update the Mortgage Loss Provision
  • To maintain accurate records in the Fixed Asset Register and  prepare the reconciliation to the Nominal Ledger
  • To reconcile the Purchase Ledger to the Nominal Ledger
  • To reconcile the Cash Book to the Nominal Ledger

Annual Report & Accounts

  • To assist in the preparation of the Society’s Annual Report and Accounts and Summary Financial Statement in accordance with appropriate accountancy standards, statutory and regulatory requirements

Key Performance MI

  • To prepare monthly, quarterly, annual and ad-hoc Board/Committee reports as per the agendas
  • To maintain the Budgetary Reporting process and model and ensure all High Level and Budget Holder Reports are accurate on a monthly basis
  • To assist in Forecasting including updating models and collating Savings and Overspends in the Society
  • To assist in the reporting of performance variances to the Management Accountant on a monthly basis

Treasury Back Office Reporting

·        To assist with the production of treasury reports, where required.

Purchase Ledger

  •          To ensure purchase invoices are checked and signed off by the appropriate senior manager before settlement
  •          To ensure purchase invoices are accurately coded in the nominal ledger
  •           To ensure purchase invoices are settled on a timely basis
  •           To ensure creditors at the month end are reconciled to the nominal ledger
  • To initiate purchase payments via the appropriate bank account
  • To ensure all purchase invoices are scanned into the Purchase Ledger

Strategic Corporate Plans

  • To assist where necessary with the preparation of the Society’s Corporate Plan

Systems and Controls

  • To assist in preparing all regulatory/statutory returns and requests for financial data, for submission to the appropriate regulator on a timely basis
  • To assist in the preparation of Systems and Controls Reporting
  • To collate all posted Journals in sequential order appropriately authorised
  • To ensure the interface between Pro-Vision and the Nominal Ledger is reconciled daily
  • To ensure any irregularities identified in the daily reconciliation are reported to the Management Accountant/ Financial Controller in a timely manner
  • To ensure a bank reconciliation is performed daily and any discrepancies reported to the Management Accountant/ Financial Controller
  • To ensure cash in branch tills is reconciled daily and any discrepancies reported to the Management Accountant/ Financial Controller in a timely manner
  • To reconcile petty cash on a monthly basis and ensure petty cash is securely stored
  • To reconcile credit card usage on a monthly basis and ensure the credit card is securely stored
  • To ensure cheques are securely stored
  • To ensure time expired cheques are minimised and records maintained
  • To reconcile insurance transactions to the Nominal Ledger
  • To reconcile insurance bank and creditors
  • To update procedure manuals and ensure they are accessible for inspection at all times
  • To update processes on an on-going basis for improvements and automated solutions where possible
  • Providing updates to Policy Statements on an ongoing basis in accordance with procedure

General Responsibilities

  • To provide support where necessary to the Management Accountant
  • To treat all monies, information, assets and resources as the property of the Society, and not to be communicated, released or made available to another person or organisation without the express permission of either authorisation contained in the Society’s System Manuals or a Manager
  • To carry out such other duties, which are consistent with the nature, responsibilities and expectations of the position
  • Ensure accounting records shall be preserved for at least 6 years from the date on which they were made, in accordance with the Building Societies Act
  • All frameworks, policies and procedures relevant to this role must be complied with
